The Accounting Officer is responsible for managing customer transactions i.e. invoices and receipts in a timely and efficient manner in accordance with best accounting practice and respecting Castel Malawi Ltd policies and procedures. To maintain, complete and accurate accounting records of all transactions with customers
Reporting to the Financial Accountant - AR, the Accounting Officer, will be required to carry out the following duties, among others:
- Reconcile customer account: resolve any discrepancies in accounts such as duplicate payments or incorrect invoicing within.
- On a regular basis, review customer accounts to track any outstanding invoices and follow up on overdue payments.
- Ensure all payments in the customer accounts are accurately allocated to respective invoices on real time basis.
- Ensure customer records are kept in a safe and secure place to avoid any loss of documents.
- Ensure customer and staff accounts are created with accurate details and parameters.
- Maintain effective communication with customers regarding payment reminders, queries and dispute resolutions.
- Closely monitor the ageing report and resolve immediately with the customers any overdue amounts.
- Collaborate with cross-functional teams such as Sales and Finance sections to resolve customer issues and improve overall receivables performance
- Ensure Customer Orders are approved and released within the defined credit limits of each customer.
- Monitor each customer account to ensure the credit limit in place matches the value of the Bank Guarantee.
- Ensure a WHT Certificate is issued and collected by the Company for any deductions done from payment.
- Ensure VAT is properly charged on all sales and fiscal invoices issued to customers.
- Prepare and book sales journal vouchers in line with accounting procedures in place.
- On a weekly basis, run the ageing analysis report and circulate to the Sales and Finance teams for resolving overdue amounts.
The ideal candidates should have, at least the following qualifications and experience:
- Advanced Diploma in Accounting plus 3 years’ experience in a busy finance office. Those with bachelor’s degree in accountancy will have added advantage.
